A shop move combines a stock transfer with a premises handover. Plan those as connected jobs with different records. Your merchandise needs an accurate count and clear custody; your fixtures need assessment for dismantling, transport and installation at the new site.
Before seeking a moving proposal, describe the type of business, stock, display units and equipment. Ordinary household carriage should not be assumed suitable for temperature-sensitive products, regulated goods, hazardous materials or unusually valuable stock.
Decide how trading will continue
Choose a stock-count cut-off and agree how orders received afterwards will be handled. Identify paid customer orders, returns, repairs, display items and supplier-owned goods separately from stock available for sale. A carton moved to the wrong location can become an order problem even when nothing is physically damaged.
Set a realistic closure or reduced-service period. Confirm the destination’s readiness before announcing a firm reopening time. Fit-out, electricity, point-of-sale systems, signage and required permissions may be outside the transport schedule.
Assign one person to approve move changes and one to control stock reconciliation. In a small business the same person can do both, but the responsibilities should still be explicit.
Build a stock transfer register
Use your existing inventory identifiers where possible. Record carton or container ID, product category, quantity, dispatch status and receiving status. Keep sensitive values and customer details in the private register rather than on the outside of a box.
| Stock category | Separate decision |
|---|---|
| Saleable stock | Count, package and allocate to the new storage layout |
| Customer orders | Preserve order identity and promised fulfilment arrangements |
| Returns or damaged items | Keep distinct from saleable stock |
| Display units | Identify appearance-sensitive items and associated fittings |
| Special-handling goods | Obtain explicit carrier acceptance and appropriate conditions |
Confirm whether counting individual stock units is your responsibility or an accepted part of the moving scope. A mover acknowledging a sealed carton count does not necessarily verify everything listed inside it.
Assess fixtures before dismantling
Measure shelving, counters, mirrors, display cabinets and large signs, then compare them with the new layout and access route. Some fixtures are built for one site and may need specialist adaptation rather than simple reassembly.
Use appropriate contractors for fixed electrical, plumbing or structural work. Agree what can be removed under your lease and what repairs are required at the old premises. Keep the transport quotation separate from assumptions about those permissions.
Photograph fixtures and their condition. Label detached parts and fittings so a display bay can be reconstructed with its own components. For glass cabinets or delicate lights, request an assessed pack rather than treating them as ordinary shelving.
Plan loading around access and accountability
Confirm commercial-building access, loading areas, goods lifts, security procedures and acceptable working times at both sites. Tell the team about narrow market lanes or distance from the parking point where known, and have the approach assessed rather than promising a vehicle can enter.
Keep high-value or confidential items under the custody arrangements appropriate to your business. Agree seals or other records where useful, the authorised receiver and how exceptions will be noted. Do not leave goods unattended on a public pavement while sorting the next batch.
For food, medicines, chemicals or other specialised stock, consult the relevant supplier, authority and transport specialist about applicable conditions. This general guide does not establish product eligibility, licensing or temperature compliance.
Reopen in stages
Receive stock against the transfer register before mixing it into normal sales inventory. Record shortages, wrong locations and visible damage promptly. Keep affected packaging and supporting records where assessment may be needed.
Install and check essential systems, then organise the minimum stock and counter area needed to operate. Assign suitable specialists to equipment testing. A delivered display fridge, payment terminal or security system is not automatically commissioned.
Update customers and suppliers through your business’s usual channels once the confirmed arrangements are clear. Review address changes for registrations, invoices and provider accounts with the responsible advisers; moving a sign does not update official records.
Questions about shop moves
Can I move stock while the shop remains open?
Consider phased batches with a clear stock cut-off for each. Without that control, sales and transfer counts can conflict. Include extra handling and coordination in the plan.
Will a household moving quote cover my showroom?
Describe the actual commercial inventory and handling needs and request assessment. Do not assume acceptance from the number of rooms or floor area alone.
Who checks the quantity inside sealed cartons?
Agree this explicitly. Your stock controller may need to verify and seal the contents, while the transport record tracks identified packages.
Use the office project plan for IT and building coordination and special-item packing guidance for delicate displays.
