Rental Move-Out Checklist: Access, Condition and Key Handover

Organise a rental move-out with a condition record, owner and building coordination, meter readings, belongings checks and a documented key handover.

THE PRACTICAL CHECKLIST

Before you start

  • Coordinate loading, property inspection and key handover.
  • Separate your belongings from items that stay with the property.
  • Keep a condition record and allow time for a final sweep.

A rental move is complete when the belongings have left and the property handover is documented. Plan both parts together. An inspection arranged before furniture is removed may miss areas hidden behind it, while a key handover scheduled too early can leave the crew unable to finish collection.

Use your rental agreement and written discussions with the owner to establish what needs doing. This checklist organises the practical work; it does not determine legal notice periods, deductions or deposit entitlements.

Confirm the sequence with the owner and building

Check the agreed leaving date, inspection appointment and person authorised to receive keys. Read the agreement for the process that applies to your tenancy. Keep written confirmation of changes rather than relying on several separate phone conversations.

Ask the building office about moving permission, lift booking, vehicle entry, access cards and any applicable clearance process. Identify who must supply crew or vehicle details and by when. The owner approving your departure does not necessarily reserve the building lift.

Coordinate collection so you retain enough access to inspect, clean and collect overlooked items. If you need to return later, obtain explicit agreement on that access and the remaining keys.

Separate your property from things that stay

Use the move-in inventory or your original photographs to identify fixtures, supplied furniture and appliances. Mark items that remain and tell the moving team. Keep a separate list of items you have agreed to sell or leave to the owner or incoming tenant.

Check lofts, balconies, utility areas, drawers, shoe storage and any parking or basement storage. Include items borrowed from neighbours or supplied by a broadband or utility provider. A complete room check can prevent both accidental removal and belongings left behind.

Resolve uncertainty before packing: a wall-mounted shelf may be yours, but removing it can involve agreed repair work. Use appropriate help for electrical, gas or plumbing disconnections; the moving crew’s transport scope should not be treated as authority to alter fixtures.

Make a clear condition record

Take dated photographs or video once surfaces are visible and the space is reasonably clear. Include each room, appliances that stay, relevant meter readings and any existing or newly identified issue. Capture enough context to show the location rather than only a close-up mark.

Write a short handover record with the inspection date, attendees, items remaining, keys or access devices returned, and any unresolved work. Share it through the agreed channel and retain an acknowledged copy where possible. It records what you observed; it does not by itself settle a disagreement.

If there is a dispute about repairs or deductions, refer to the agreement and seek appropriate advice for your circumstances. Avoid assuming an online checklist can decide responsibility from a photograph alone.

Track utilities and service equipment

Item Action to confirm
Electricity or water Closing reading, account process and final-bill responsibility
Broadband Transfer or cancellation, router ownership and equipment return
Gas connection Distributor’s address-transfer and equipment instructions
Building access Keys, parking cards, stickers and other issued devices
Deliveries and subscriptions Address update or pause through each provider

Keep acknowledgement numbers and return receipts together. Use the provider’s official channel and share only the information necessary for the requested change. A move does not automatically update your address across unrelated services.

Reserve time for a final sweep

After the inventory has been loaded, walk through the home with a small bag for overlooked personal items. Check chargers, bathroom shelves, keys, window ledges and documents kept in a drawer. Verify that anything intentionally left is on the agreed list.

Complete the agreed cleaning and arrange disposal through the building’s accepted process. Do not leave unwanted furniture or packing waste in common areas and assume the next resident will handle it. Record any task that needs a later visit and who is responsible.

Questions about rental handover

Should I hand over keys before the truck leaves?

Keep the access needed to finish collection and the final inspection. Agree the sequence with the owner and crew, especially if the building closes its moving window early.

Does a clean home guarantee my full deposit back?

The agreement, condition and applicable process determine that discussion. Keep evidence and written communication; this checklist cannot promise a particular deposit outcome.

What if the owner cannot attend?

Agree an authorised representative or documented alternative, including who receives keys and how condition is recorded. Do not leave keys in an unsecured location without an accepted arrangement.

Prepare the destination using the new-home checklist and keep your moving inventory accessible through both handovers.
